We take the confidentiality of an owner’s business seriously, because it is the heart of what we do. This policy explains what personal information we collect, why, and the choices you have over it.
Who we are
ClyOps is a trading name of Clyops Group Limited, a company registered in England and Wales (company number 17019173), whose registered office is at Rear of 111 Barkby Road, Leicester LE4 9LG. For the purposes of UK data protection law, Clyops Group Limited is the data controller for the information described here. You can reach us at rajiv@clyops.com.
The information we collect
- Information you give us. Your name, email address and any details you choose to share when you contact us, complete the exit-readiness diagnostic, or engage us.
- Diagnostic responses. The answers you provide in the diagnostic, which we use only to prepare your report.
- Engagement information. Where we work together, the financial and commercial information about your business needed to advise you, together with identity, ownership and source-of-funds information collected as part of the client due diligence we are required to carry out.
- Technical information. Basic data your browser sends when you visit, such as your device type and pages viewed, used to keep the site secure and working.
How we use it, and our lawful basis
- To respond to your enquiry and prepare any report or proposal you have asked for, relying on your consent and on the steps we take at your request before entering into a contract.
- To provide our services where you engage us, relying on the performance of our contract with you.
- To carry out client due diligence and meet our accounting, tax and anti-money-laundering obligations, relying on compliance with a legal obligation and our legitimate interest in running the firm responsibly.
- To run and protect our website, and to understand how it is used, relying on our legitimate interests in operating a secure, effective business.
Who we share it with
We do not sell your information, and we do not share it with anyone for marketing. We share it only with trusted service providers who help us run the business (for example, our email, hosting and customer-management providers), who act on our instructions; with professional advisers such as lawyers and accountants where that is needed for an engagement; with parties to a transaction that you have approved, under a non-disclosure agreement; and where the law requires it. Any engagement remains strictly confidential and seller-side.
Where your information is held
Your information is held within the United Kingdom and the European Economic Area wherever possible. Some of our service providers are based outside the UK, including in the United States. Where we transfer personal information outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Addendum, or transfers to a country or framework covered by UK adequacy regulations. You can ask us for more detail on these safeguards at any time.
How long we keep it
We keep your information only for as long as we need it. As a guide, we keep enquiry and diagnostic details for up to two years if no engagement follows, and we keep engagement, financial and due-diligence records for at least six years after our work ends to meet our legal, tax and anti-money-laundering obligations. When information is no longer needed, we securely delete or anonymise it.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct anything that is inaccurate;
- ask us to delete your information, or restrict how we use it;
- object to processing, and withdraw consent at any time;
- ask for a copy of your information in a portable format.
To exercise any of these, email rajiv@clyops.com. If you are unhappy with how we have handled your information, please raise it with us first through our complaints procedure. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
